To set up a Subscription Group:
Click Mass Email>Email Subscription Groups. All existing Subscription Groups will be displayed. The first subscription group in the list is the default subscription group and can be edited but not deleted.
Click the “Add New Group” button to create a new Subscription Group.
On the edit page:
Complete the following
- Title: enter the title of your subscription group
- Description: enter a description for your subscription group (optional)
- Thumbnail Image: upload an image for your group (optional)
Click “Update”
Click “Back to List”
On the Email Subscription Group list page:
Using the up and down arrows you can order your subscription groups. You can also remove a group by clicking the ‘x’ in the delete column. There is no update button on this page because any change is updated as you make it.
Note: If you delete a subscription group all subscriptions contained within that group will be moved to the default group.
How to harvest the results from local and or national Surveys:
Click Reports>Survey Results>Surveys. All Active and Closed Surveys will appear.
Roll over the Survey you wish to review, and you will view ‘Click to review results for this Survey item’ Click the ‘Survey’ and you will view totals, raw data, and two application fields.
In the raw data section for this Survey you will view the following:
- Survey Name and total program members that completed the Survey
- Gender breakdown of those that completed the Survey
- Individual Survey Questions that will provide the results breakdown by gender, and the % of how the question was answered by gender and answer
Using the Update Report Onscreen will allow to to harvest the following data:
- The number of program members who completed the Survey by date.
- Simply enter the desired ‘Begin Date’ and ‘End Date’ and click “Update Report” to view the total number of members that completed the Survey during that time frame
Using the Download Report Spreadsheet will allow to to harvest the following data:
- The account information of all those that have completed the Survey by date. Enter the desired ‘Begin Date’ and ‘End Date’ and click “Update Report”. You will view the results of those that completed the Survey within the time frame entered.
- As you create a desired time frame, click the Spreadsheet tab and complete the process. This Excel spreadsheet will open to Sheet One, containing the distinct data points of each member that completed the Survey. This is an excel spreadsheet that will allow you to sort the answers by any data field you choose.
- Tab over in this report to Sheet 2 and you will view the ‘Verbatium’ answer of each question within the Survey. Here you will also be able to sort the answers by any data field. The most common sort on this page is the administrators desire to identify those program members that answered ‘Yes’ as an opt answer to this Survey.
How to Setup a Registration Survey:
Click Admin>Site>Registration Survey. A modal window will appear in the center of the screen.
There is a drop down menu on the upper left side of the modal window. You will have several options you may choose to add to your registration page: Text Box Small, Text Box Large, Picklist, Multi-Select Picklist, Date, and Number.
Option Descriptions:

Text Box Small: This will insert a question with a small text box to which members can enter a one line answer.

Text Box Large: This will insert a question with a large text box to which members can enter a multiple line answer.

Picklist: This will insert a question to which members can pick one answer from a list of answer choices.

Multi-Select Picklist: This will insert a question to which members can pick multiple answers from a list of choices.

Date: This will enter a question to which members can enter a date.

Number: This will enter a question to which members can enter a number.
Insert Desired Options
Insert a Text Box Small
- Click the drop down menu and select Text Box Small
- Click “Add Fields”
- A separate window will pop up
- Type in your question or label in the Question/Label field
- Uncheck the Make field required checkbox to make the field not required
- Click “Save”
Insert a Text Box Large
- Click the drop down menu and select Text Box Large
- Click “Add Fields”
- A separate window will pop up
- Type in your question or label in the Question/Label field
- Uncheck the Make field required checkbox to make the field not required
- Click “Save”
Insert a Picklist
- Click the drop down menu and select Picklist
- Click “Add Fields”
- A separate window will pop up
- Type in your question or label in the Question/Label field
- Uncheck the Make field required checkbox to make the field not required
- Double click inside the Double click to edit space and enter in the first answer choice
- Scroll down and click on “Add Choice” to add more answer choices
- After entering in all answer choices, click “Save”
Insert a Multi-Select Picklist
- Click the drop down menu and select Multi-Select Picklist

Click “Add Fields”

A separate window will pop up

Type in your question or label in the Question/Label field

Uncheck the Make field required checkbox to make the field not required

Double click inside the Double click to edit space and enter in the first answer choice

Scroll down and click on “Add Choice” to add more answer choices

Insert a Date
- Click the drop down menu and select Date
- Click “Add Fields”
- A separate window will pop up
- Type in your question or label in the Question/Label field
- Uncheck the Make field required checkbox to make the field not required
- Click “Save”
Insert a Number
- Click the drop down menu and select Number
- Click “Add Fields”
- A separate window will pop up
- Type in your question or label in the Question/Label field
- Uncheck the Make field required checkbox to make the field not required
- Click “Save”
Publish Changes

Once you have entered all desired options, you can click “Save/Publish”

A pop up window will appear and ask, “Are you sure that you want to save changes? Please make sure you have checked your questions and answers for typos or mistakes”

Click “Yes”

Click “OK”

Check the rewards site registration page to verify that the survey has been inserted
Delete Existing Options

When you are on the initial pop up window, click on the existing option you wish to delete and hit the delete button on your keyboard.

A pop up window will appear and ask, “Are you sure you want to delete this field?”

Click “Yes”
To run a Bad Email Report:
Click Reports>Members>Member Bad Email Reports
- Select either a Detail or Summary Option
- Click the “SpreadSheet” button
To download a Member List:
Click Reports>Members>Member List Download
- Click the “SpreadSheet” button
To report on Last Log-in Aging:
Click Reports>Members>Last Log-In Aging
- Enter the start date of the report query
- Enter the end date of the report query
- If the report is only to pull data for confirmed members, select the “Confirmed Only” box.
- Click “Create Report”
To report on members by Zip Code:
Click Reports>Demographic Reports>Members by Zip Code
- Begin Date: Enter the start date of the report query
- End Date: Enter the end date of the report query
- Confirmed Only: If the report is only to pull data for confirmed members, select this box.
- Click “Create Report” to view the report on screen
- Enter the same information in the Download Report Spreadsheet section and then Click “Spreadsheet” to download a spreadsheet of this report.
To customize the forward facing language and graphics:
Click Music Testing>General Options. Three tabs will display with settings options.
On the Profile Options Tab:
Default language and options will be prefilled here for you if you’ve never made any changes. The text boxes can accept simple inline HTML tags for basic formatting.
- Opening Paragraph: This text only appears to members who are participating in a music survey for the first time. Customize this language to encourage members to participate.
- Thank You Message: This text appears to members after they have completed a music survey.
- Message Presented When Perceptual Questions Change: This text appears to members whenever they are asked to answer the perceptual questions before completing a music survey. This would be the case if they haven’t answered them yet or if you change the questions or if you force them to answer the questions again with each test (which is an option on the next tab).
- Message Presented When No Test is Available: This text appears to members when they visit the music test module and no survey is currently available for them to complete. This would happen if there is no music test running or if they have already taken the one that is currently running.
Click the save button to save your work after making changes.
On the Perceptual Questions Tab:
Default questions will be preloaded here for you if you’ve never made any changes.
- Change Questions Button: Click this button to make edits to the perceptual questions, including adding or removing questions or answer choices. Your edits will take effect beginning with the next music test that runs.
- To delete a question or answer choice click the x icon to the right of the item you want to delete.
- To change an answer choice or question click into it and make your edits to the text. Click the save button.
- To add a question, click the ‘add new question’ button. Select your question type and enter the question in the box provided. You must supply at least two answer choices. Click save and you will then have the ability to add additional answer choices by clicking the ‘add new answer’ button.
- Fix Typo Button: Click this button to make an edit to the perceptual questions because of a spelling or grammar error. You cannot add or remove questions or answers but you can edit the text within the existing questions and answers in order to correct typos. Your changes will take place immediately after you click the save button.
- If you want to force participants to always re-answer the perceptual questions even if they’ve already answered them and they haven’t changed, then select the checkbox at the top of the screen next to the text that says “Present perceptual questions to all participants with each new test”. This is updated in real time so there is no need to click a save button after you check or uncheck this box.
On the Image Manager Tab:
Default images will be preloaded here for you if you’ve never made any changes.
- Change Images: The images you see here rotate in the order they are displayed while a member is taking a music survey. There are 5 image slots. To change the image in a slot click on it, then browse and select an image from your local machine. Click the save button to save the change.
To set up Tracking Links in Tribal Direct:
Click Mass Email>Tribal Direct. The Tribal Direct Email System will open.
Click “Tracking Links” tab to open the Tracking Links editing page.
On the Tracking Links Page:
To add a new Tracking Link:
- Click “Add New Tracking Link” button
- Name: Enter the name of the tracking link
- URL: Enter the full URL of the link to be tracked ( include http://)
- Click “Save Link and Back to List” button (if you wish to not save at this point, click “Cancel Changes and Back to List“
To delete an existing Tracking Link:
- Select the check box next to the tracking link you would like to delete
- Click “Delete Tracking Link“
- If you sure you want to delete this tracking link, click “Yes-Delete this Link“ button. If not, click “Cancel- Do Not Delete Links“
To track aggregate click-throughs on a Tracking Link:
- Link: From the dropdown, select the name of the link
- Total By Day: Check if you want daily totals of the clicks
- Total By Session: Check if you want total clicks for the session
- From: The beginning date of the reporting period
- To: The end date of the reporting period
- Click the “Show“ button to create the on-screen report
To track aggregate click-throughs on a Tracking Link:
- Link: From the dropdown, select the name of the link
- From: The beginning date of the reporting period
- To: The end date of the reporting period
- Click the “Show“ button to create the on-screen report
- Click the “Export in CSV File“ button to export the members who clicked the link in a CSV file
- Click the “Export Static Email List“ to export the email addresses of members who clicked link
